But what if...

...we get orders in emails (written or as attached pdfs, scans or spreadsheets)

We have an ‘order ingestion’ automation pre-built for exactly these cases. It uses AI heavily to proces these orders and output them in the standardized format we design for you, at a cost of about $0.50 per order.

...the automation misses something

Part of our standard structure is an ‘Error Checker’.

It’s like a quality control person, who prints out every single order received each day, and marks them off against the orders sent out, to identify anything missed.
(Except ours does it without paper or staff time.)

Any discrepancies are then sent as alerts, to us and you, to be resolved.

...something is inaccurate

Orders from ecommerce platforms:

Data accuracy from quality, well-structured sources (i.e ecommerce platforms) is perfect. Issues can only be introduced by customers incorrectly entering things, or a setup error.

The first is usually solved by the platform only allowing correct entry. The second we fix during testing.

Orders from emails / pdfs

AI is amazing, but imperfect, so ingestion from pdfs etc. can have inaccuracies. We reduce this to a 0.01% occurrence with good design, then have multiple double-checks to catch that last 0.1%.

...it's an order ...written by a blind man ...underwater ...with his feet .. and scanned by a fax machine built the year Jesus was born?

In cases where the order is indecipherable (really bad scans can do this), the automation will output the order to you/your team. This is typically done in an email containing the bad scan, and a form, so you can follow up with the customer, or decipher it right there, without having to open or log into anything.

...the customer got the numbers wrong and it doesn't make sense

If there is potential for orders to be custom-made by the customer (i.e Purchase Orders), and they must be correct, then we’ll build the automation to verify it against your prices before submitting.

If there is an inaccuracy, the automation can take 1 of 2 actions:

1) Automatic processing – Returns the order to the customer via email, with an informative message on what needs to be fixed up.
2) Kicks the order out to you/your team for manual handling

...it breaks and we don't know how to fix it

Generally our systems have excellent uptime and rarely have issues during normal running. Server outages and inventively incorrect customers are usually the only remaining culprits once troubleshooting is complete.

It’s optional, but we do provide an option to have us stay onboard ongoingly, and jump on any issues that come up, so that they are resolved asap, and all orders are processed as if nothing ever happened.

...we won't know what's happening with orders

Nothing gets hidden by automation, each order will still appear in each of your systems as it normally would.

In fact, the low-cost processing often makes it essentially free to add links back and forth, for really easy navigation between different platforms for a single order.

The Process

1. A Zoom Call

3. Order Standardisation
Depending on how your orders come in, we’ll develop a standard data structure that can hold all of their complexity and build the processing to get every order into that standard format and into the automation.

4. Actions
On our call we will have defined which actions need to happen with each order (i.e put into inventory & accounting software, picklist/shipping label printed, sent to the warehouse/3PL, email to customer, etc.)

We build and test each of these, and any conditions/variations they need.

5. Demo & Test
We show you it working, live on a Zoom call. You can choose which orders are processed (we can turn off outputs, so no actions are taken, or test live).

If we’ve missed any parts of any actions, you’ll let us know, and we’ll fix those up.

6. You choose if you’re happy with it.
